Overview
Calendar options are a bunch of options to be configured by administrator, such as time, duration, status and etc.
The filed of content in the calendars will only be visible when the functions are enabled in the calendar options.
Notice
An appointment status cannot be disabled if it is used as one of the global calendar options default appointment statuses.
Calendar Options
- Click Administration.
- Select Appointments from menu.
- Click Calendar options.
Edit calendar options
- Click Administration.
- Select Appointments from menu.
- Click Calendar options.
- Fill in the fields using the table below as a reference.
- Click Update Calendar Setting.
Field | Description |
Start Time | This is the earliest start time displaying in the calendar. So if you set this to 8am then on the calendar screen the earliest you can book an appointment will be 8am. Note: There are consequences to changing this later, so please ensure you have the absolute earliest start time and absolute end time for the appointments calendar. |
Stop Time | This is the last time displaying in the calendar. So if you set this to 7pm then the calendar screen will not show anything after 7pm. Note: There are consequences to changing this later, so please ensure you have the absolute earliest start time and absolute latest end time for the appointment calendar. |
Duration | Set the standard duration in minutes that the calendar will be split into. This divides the calendar view into slots of time A shorter duration will mean you have to scroll down the screen further to view the entire day If you average appointment length is 20 minutes then enter 20 You will be able to specify appointment length for individual sessions later in the setup |
Booked status | You can choose five booking status for the calendar option |
Cancelled Status | This will normally be set to cancelled or something similar based on what appointment statuses you have configured. |
Warn Referral | Warn on booking if the patient has an expired referral |
Warn Account (Check box) | Warn on booking if the patient has a positive outstanding balance across all accounts For example: When booking an appointment Clintel Test has a total of $119.30 outstanding on all accounts. Current $11930 30days: $0.00 days: $0.00 |
Warn Debt Collector (Check box) | Warn on booking if the patient has a debt collector flag(Billing module) - depreciated - do not use |
Check Provider of Referral (Check box) | Warn on booking if patient's referral to the Provider expired or about to expire |
Update progress Notes (check box) | The following will be copied clinical notes: appointment notes, date/time and the action e:g: updated/completed/etc |
On double booking | Warn on booking if this appointment overlaps an existing appointment. N.B It is possible to double book in CareRight this will just warn you that are double booking. |
Use Provider Initial (Check box) | Use Provider Initials, instead of Name, in the calendar header. |
Single Reservation(Check box) | If true, only allow each user to hold reservation slot at a time. The user will then have to release the reservation before they can make another reservation. A reservation is effectively an appointment without a patient attached to it. It reserves an appointment time, A patient can be attached later. |
Show Notes(Check box) | Show appointment notes on an appointment in the appointment screen |
Show MRN(Check box) | Show MRN on an appointment in the appointment screen |
Allow Another User to Convert a Reservation to an appointment | Allow a user other than the user that created the reservation to convert the reservation into an appointment |
Show Theatre Menu (Check box) | The Theatre Menu appears on the top level menu (Dashboard) if TRUE |
Hide Provider With No Sessions (check box) | If a Provider does not have a session on a given day, hide that provider from that day. This works in the one-day view only. |
Enable Room Assignment (Check box) | This setting will enable room assignment |

Admin > Calendar Options > Settings to disable "all providers" views for calendar for large organisations
A new setting is available to disable the organisation wide view of providers. For customers with key staff operating across multiple locations, this can present a usability and performance issue.
When enabled, the system defaults to prompting users to select a calendar view. Users who have set up default calendar views will not be prompted.
