Statutory Coding

This screen displays all the valid fields / data elements required for Statutory Reporting. For each field / data element this screen will show:

Field / Title

Description

Data Element

This is the name of the data element/field. 

Description

this gives a description of the data element

Data Type

This indicates the type of data stored in the  field value. For example, String, date, time

The type to take note of is: Data collection Lookup . This indicates that there are values which can be defaulted / disabled)


To Review the Data Elements Details

  1. Click Administration
  2. Click Admissions
  3. Click Admission Categories.
  4. Select Data Elements to review the valid elements.
  5. Click on the data element of interest.
  6. The details screen will display three sections:
    1. Details - this gives a description of the data element.
    2. Statutory Report - this lists the Statutory reports the element is valid for and which version.
    3. Statutory Report Values - this describes the valid codes for these elements across the statutory reporting bodies. (these value can be disabled if not relevant, i.e Maternity).
  7. To disable a code value, select the Disable button next to the irrelevant code. 

Frequently Asked Questions

Question: Why does a statutory reporting guide say I must submit a numeric value - ie 3 - but in the user interface I see a human readable value?

CareRight models selectable values with human readable text, so that you do not need to remember the full detail or coding rules for a large variety of states.

This allows the  selection of one value, and reporting the correct codes for:

  • HCP
  • State Based reporting (QHAPDC, HMDS, ISAAC/APC, PHISCO)
  • Grouper
  • Medicare Online claiming


Question: Why do I see values not relevant for my admissions? IE: PHISCO Unqualified Newborn Days?

Check that you have marked the field has "Hidden" in your admission category setup.


Question: I need to enter data, but I can't see a field. How do I change this?

On the individual admission, when you edit, you can select Show Hidden Fields. This will display all possible fields.

To fix this ongoing, either:

  • Mark the field in Admission Category setup as visible or
  • If it has a fixed value for your admission category, set a default value


Question: I need to make sure data is required at the point of discharge, how do I force this to occur?

In the individual admission category setup, mark the field as required.

In global settings, set Admission Data Collection At Discharge to true.

Note: It is highly recommended to test this before enabling, as it is a global setting.


Question: I report for HCP, and another state based report. Why are some values missing?

Where a value is not valid for both HCP and other statutory reporting, the system restricts the options that you can select to valid options.

This can be checked via Admin > Admissions > Statutory Coding.
