Cancer Registry Reporting

You are able produce notifications for reporting to state based Cancer registries. Reporting is managed by discharged admission (does not need to be coded).  This can be completed via an Admission, and Discharge.   CareRight currently enables Cancer Reporting for:

  • QLD
  • TAS
  • VIC
  • NSW (utilises the CNP Specification)

Each State may have different requirements for which data is to be reported. Ensure you fill out the details relevant to the state of admission/discharge.

Note: The following information will auto-populate from the Patients Admission:

  • Admitting doctor from admission
  • Location of cancer diagnosis (QLD)
  • Postcode of Cancer diagnosis (QLD)
  • URA (Usual Residential Address) Suburb (VIC, NSW)
  • URA State (VIC, NSW)
  • URA Postcode (VIC, NSW)

To print the SA Cancer Register form, click Print — a PDF will be generated that is pre-populated with patient and admission data.


Submitting a Cancer Notification

You can submit a  Cancer Notification from the Patient active Admissions screen.  

  1. From the Patient Admission record.
  2. Select the Submit Cancer Notification button at the top of the screen.
    1. The Cancer Notification screen will display.
  3. Complete fields based on the screenshots below. The order of fields is based on whether a new notification is being created or an existing notification is being edited:
    1. When creating a new notification linked to an admission:
      1. Primary Site Code
      2. Morphology Code
      3. Laterality
      4. Date of First Diagnosis
      5. Is Date of Diagnosis of Primary Cancer estimated?
      6. Location Of Cancer Diagnosis (only if reporting to Queensland)
      7. Postcode Of Cancer Diagnosis (only if reporting to Queensland)
      8. Number of Primary Sites
      9. Basis of Diagnosis
      10. Reasons for Clinical Diagnosis
      11. Comments
    2. When creating a new notification not linked to an admission OR when editing a notification:
      1. Primary Diagnosis Code
      2. Primary Diagnosis Description
      3. Primary Site Code
      4. Morphology Code
      5. Laterality
      6. Date of First Diagnosis
      7. Is Date of Diagnosis of Primary Cancer estimated?
      8. Location Of Cancer Diagnosis (QLD Field, only show if reporting to QLD)
      9. Postcode Of Cancer Diagnosis (QLD Field, only show if reporting to QLD)
      10. Number of Primary Sites (refer #68787 )
      11. Basis of Diagnosis
      12. Reasons for Clinical Diagnosis
      13. Comments


Queensland


Tasmania (Changes in v6.62)

Per governmental changes, two panels were changed in CareRight v6.62 as follows:

Cancer Notification Panel

  • Removed: Date of First Diagnosis and Comments fields.
  • Added: Topography Codes, Morphology Codes and Basis of Diagnosis fields.

Treating Doctor Panel

  • Removed: AHPRA Number, Second Name, Address and Provider Number fields.
  • Remaining: First Name and Last Name fields.


Victoria

For Victoria, metastatic site content is automatically populated from admission data. In the graphic below, the Metastatic Site field is auto-populated with site data from C77 - C79 (default).



New South Wales


Once all values are complete you can submit the Cancer Notification.

  1. Select Create Cancer Notification button.
  2. This creates the Cancer Notification and it is recorded ready to be run in the monthly reporting cycle.


Note:

The recording of multiple basis of diagnoses for cancer notifications can also be done during the notification editing process.

 

Next Steps:

At the end of each month (or as agreed with the registry) the report needs to be run as per Statutory Reporting processes (See Statutory Reporting - Cancer Registry).


Important:

ICD 10 Codes need to be loaded before they will appear the in the drop down lists. Each states Cancer registry documentation advises which codes ranges are requited to be loaded - See System Administration Guide.

User Permission access for Cancer Notifications need to be set for users before this functionality will display on screen - see System Administration Guide - Cancer Registry.
